Form Users

The Form Designer uses a Role-Based Access Control (RBAC) model, where users are assigned roles (Admin, Designer, Processor) that determine their permissions.


Form Users

The 'Form Users' section in the navigation menu displays all the invited users of the tenant, showing their Name, Email, and Role. This section is where new users can be invited and where the individual users to be managed by making any necessary changes to their information or role.


Available Roles:

Admin: Can edit, view and manage all forms and assign roles to users.

Designer: Can create and modify forms.

Processor: Can only view submitted forms, but not design them.


Adding Users

The invitation of users require a first and last name, email and a role to be assigned to the user.

How to add users:

  1. Click on the 'Add User' button on the top right of the Form Users page

  2. Fill out the required fields

  3. Click Add


Editing Users

Only the admin will have access to edit the users first and last name and Role

How to edit users:

  1. Click on the three-dots on the side of the users name

  2. Click Edit User

  3. Edit any desired fields

  4. Click Update


Deleting Users

Only the admin will have access to delete users

How to Delete Users:

  1. Click on the three-dots on the side of the users name

  2. Click Delete User


Form-based User Management

Within each form, users can determine which Designer and Processors are able to design or view the submitted forms respectively.

Designers that are 'selected' in a form will be able to edit and view the submitted forms while selected Processors will be able to only view the form. If either or both roles are not selected for a user, that form will be hidden from their view.


How to provide user the access rights to individual forms:

  1. Click on My Forms in the navigation menu

  2. Select a form

  3. Select a user to be a Designer under the Designers table and a Processor under the Processors table.

  4. Click the Save button

Users must be assigned the correct role in the Form Users section to edit or view a form! For example, if someone is assigned as a Designer for a specific form but only has the Processor role in Form Users, they will only have view access and won’t be able to edit the form.
